To help with wayfinding, our new Library UI has condensed the container-level and file-level actions into an Actions toolbar. You'll see different actions depending on what type of container is selected, i.e. Collection vs. Gallery vs. File:

Creating Collections & Galleries
In Lumen (our New Library UI), you can add a new collection or gallery using the Add button at the top of the right pane:
You can also add a new container (collection or gallery) using the + button next to Listed or Unlisted in
the left pane.
Adding a New Collection or Gallery
- In the left pane, click the + icon next to Listed or Unlisted and select Create New Container.
- On the next window, click New Collection or New Gallery
- Name the collection and select the Location if you want to modify it to an existing collection instead of the Library root. If you start to type in the name of a collection, matching options will appear for you to select.
- Click Create.
Upload to a New Gallery
- In the left pane, click the + icon next to Listed or Unlisted and select Upload files.
- Click Create new Gallery
- Add a Name for the gallery and select its location (leave blank for the Library root in the section you selected previously - either Listed or Unlisted). If you start to type in the name of a collection, matching options will appear for you to select.
- Choose your preference for handling duplicate files, i.e. skip, replace or upload anyway
- On the next screen, type the name of the gallery you created. It will load with the results that match to choose from.
- Click Select files and choose the files for upload. The upload will begin immediately.
Upload to an Existing Gallery
There are several ways to upload files to an existing gallery in Lumen. The flow below walks you through using the + in the top menu, but you can also follow the flow above and select an existing gallery when prompted, then select the files for upload.
- Select an existing gallery in the left pane of the Library and click the + icon (Add) in the top menu.
- Confirm your upload location and choose your preference for handling duplicate files, i.e. skip, replace or upload anyway.
- Click Select Files and choose the files for upload. The upload will begin immediately.
Collection Actions
Take actions on a selected Collection using the More menu, or select one or more Galleries within a Collection to activate the Actions toolbar. You can also find Collection & Gallery permissions for your PhotoShelter website, and controls for your users with download permissions:
Actions you can take on Collections include:
- Copy Website Link
- Move to Collection
- Delete a Collection
- Disable Watermarks
- Rename a Collection
- Add a Collection Description
- Set as Cover (Collection cover image)
Copy Website Link
- Select a collection and click the More actions menu at the top of the center pane
- Click Copy Website Link
- The link to the collection on the Website will be copied to your clipboard automatically
Move to Collection
- Select a collection and click the More actions menu at the top of the center pane
- Click Move to Collection
- Select a collection to move the container into. You can also create a new collection.
- Click Move
Delete a Collection
- Select a collection and click More
- Click Delete
- Confirm the container selected for deletion, noting the nested collection and gallery count
- Type DELETE into the box provided
IMPORTANT: Deletions cannot be undone. Files will be moved to the trash unless they have copies in other galleries.
Enable/Disable Watermarks
- Select Galleries within a Collection to activate the Actions toolbar
- Click Watermarks to disable or enable watermarks for the files in the gallery
Rename a Collection
- Select a Collection
- In the right pane, click the Collection name
- Rename the Collection (changes are applied automatically)
Add a Collection Description
- Select a Collection
- Expand the Description accordion in the right pane
- Type your description into the field; changes are saved automatically
- Delete the content in the Description field to remove the existing Description
Set as Cover (for the Collection cover image)
- Select a Gallery under any Collection (only applies if multiple Galleries are under the Collection)
- Choose "Set as Cover" from the list of actions

- Copy Website Link
- Copy to Collection

Copy Website Link
- Select a gallery in the left pane
- In the right pane, click Copy Website Link
- The link to the gallery on your website will be copied to your clipboard automatically

- Select a gallery and click the More actions menu at the top of the center pane
- Click Copy to Collection
- Select a collection to copy the container into. You can also create a new collection.
- Click Copy
Move to Collection
- Select a gallery and click the More actions menu at the top of the center pane
- Click Move to Collection
- Select a collection to move the container into. You can also create a new collection.
- Click Move
Enable/Disable Watermarks
- Select a gallery and click the More actions menu at the top of the center pane
- Click the toggle next to Watermarks to disable or enable watermarks for the files in the gallery
Delete a Gallery
- Select a gallery and click the More actions menu at the top of the center pane
- Click Delete
- Confirm the container selected for deletion, noting the file count
- Type DELETE into the box provided

Rename a Gallery
- Select a gallery
- In the right pane, click the gallery name
- Rename the gallery and click the blue check to save
Add a Gallery Description
- Select a Gallery
- Expand the Description accordion in the right pane
- Type your description into the field; changes are saved automatically
- Delete the content in the Description field to remove the existing Description
Set as Cover
- Select an under any Gallery
- Click "Set as Cover" to set the image as the Gallery cover image.
File Actions
At the file level, you can share, download, adjust the image orientation, copy to gallery, move to gallery, set an image as the gallery cover image, and delete images from their respective gallery.

Share Download Link (formerly Quick Send)
- Select a file or multiple files in the Library and click Share download link (the Share symbol) in the actions navigation on the right
- Select the image size to share and click Generate Download link
- In the window that appears, copy the link to send it externally, or click Email link to email the link to a user or user group
- If needed, edit the Subject and Body of your message and determine whether or not you need a copy of the email
- Click Send
Download & Crop
- Select a file in the Library and click the Download icon in the right pane menu
- In the window that appears, choose the image format
- Select your embedded metadata preference. By default, images will download with updated metadata embedded on the file. Uncheck this option if you want to download the file with its original metadata.
- Optionally, crop the image before download by clicking Crop. When cropping an image, choose one of the social media presets, or set a custom or 1:1 crop.
Copy Website Link
- Select a file in the Library and click Copy Link in the right pane menu next to Open Website Link
- The website link to the image will be copied to your clipboard
Rotate Image
- Select a file and click the More actions menu at the top of the center pane
- Use the quick select buttons to rotate the image 90 or 180 degrees
Copy to Gallery
- Select a file and click the More actions menu at the top of the center pane
- Click Copy to Gallery
- Select a gallery to copy the file to or create a new gallery
- Click Copy
Move to Gallery
- Select a file and click the More actions menu at the top of the center pane
- Click Move to Gallery
- Select a gallery into which the file will be moved or create a new gallery
- Click Move
Set Cover Image
- Select a file and click More
- Click Set as cover
Delete a File
- Select a file to delete and click the More actions menu at the top of the center pane
- Click Delete
- Confirm the deletion and click Move to Trash
Note: You can recover a file from the Trash by navigating to the Trash in the left pane and dragging the image to an existing gallery.
Batch Rename Files
Selecting two or more files in a Gallery will expand the Actions toolbar as well as additional options in the right pane. One of these options is Rename, which allows you to batch rename files in your selection.
Our Rename feature allows you sequentially rename files by adding a prefix and a starting number for the files in your selection, i.e. "Lumen01, Lumen02, etc."
- Select two or more files in a Gallery
- In the right pane, click Rename
- In the Rename window, enter a prefix and a starting number for your files
- Click Rename to confirm the change. You will see the selected files renamed in a list at the top of the right pane
